Position : Event Coordinator

Location : New York NY 10011

Duration : 6 months with possible extension.

Description:

Possible International Travel in Singapore and Dublin 

Project Overview: 
The Advanced Solutions Lab hosts senior executives, customers, prospects and partners at our NYC campus. Our objective is to design and deliver meetings that transform our client relationships to be broader and more strategic, with a long-term, significant positive impact on our clients businesses. 

Overall Responsibilities: 
Work hand-in-hand with the Briefing Managers to support briefings with basic logistics 
Set-up conference rooms before customer arrivals daily 
Arrange swag bags in advance of briefings daily and weekly 
Manage swag merchandise inventory 
Manage swag ordering with vendors and in collaboration with the EBC Manager for budgeting 
Manage and track swag and catering budget 
Order catering for each briefing and/or arrange reservations with Cafes 
Order other items as needed for briefings at the direction of the Global Operations Lead 
Proactively track swag, name tags and name tent inventory and alert the team when to order 
Track each briefing progress with logistics details and participate in weekly Briefing Update meetings with verbal progress reports for each briefing 
Confirm attendee names in advance and work with printing team to be sure 
EBC style name badges and tents are ready for each briefing 
Greet customers as needed during the day 
Check catering deliveries for accuracy and style 
Communicate proactively to the Briefing Manager updates and changes regarding logistics 
Assist with some day-of briefing tasks related to the customer experience 
Take photos of key elements of briefings periodically 
Post photos to the G+ page 
Additional logistics tasks as required per briefing 

Top 3 Daily Responsibilities: 
Welcome and greet large groups of customers in addition be on-hand for multiple groups of customers ensuring white glove experience is displayed 
Organize all catering activities from start to finish ensuring scheduling, deliveries accuracy and style are represented and met 
Scheduling and logistics for all non-ASL related training events hosted in the facility 

Required Skills: 
Associate's Degree in any field (preferably Marketing or Hospitality) 
2 years experience in a client-facing role or working in direct support of customer events 
Strong ability to use understanding of Google collaboration tools 
Ability to manage multiple projects simultaneously, including events coordination and scheduling 
Self-motivated, articulate, cool under stress, excellent verbal, written communications and strong interpersonal skills. 
Must be willing to work flexible hours 

Nice to have Skills (not required): 
Familiar with G-Suite Products (very helpful) 
BA/BS Degree required in any field (preferably Marketing or Hospitality)
