Job Description:

We are seeking an Executive Assistant (EA) who provides executive-level administrative support. The ideal candidate will be experienced in handling a wide range of administrative and executive support related tasks and will be able to work independently with little or no supervision. The ability to interact with staff at all levels in a fast -paced environment remaining flexible, proactive, resourceful and efficient, with a high level of professionalism is crucial to this role. Expert-level written and verbal communication skills, strong decision-making ability and attention to detail are also equally important. In addition to the above, this position has responsibility for coordinating all travel arrangements, calendar/schedule and assisting with client arrivals. 

Responsibilities include:

  • Manage the Executive’s calendar using judgment in scheduling and changing appointments and meetings, answer and screen incoming telephone calls 
  • Act as liaison to other divisions, organizations, senior staff, and visiting clients 
  • Arrange and book travel with American Express and prepare expense reports
  • Set up and coordinate meetings, conferences, and events
  • Maintain orders for both office and breakroom supplies for the team
  • Work with Business Manager for procurement, accounting and data entry
  • Adheres to Security standards in the discretion of handling confidential information
  • Manage the Team’s Conference Room calendars for team


  • Excellent communication skills, both oral and written; ability to interact and collaborate with employees at all levels
  • A high degree of professional independence, initiative, organization, time management, self-discipline, meticulous, and good judgment
  • Embraces the use of technology and tech savvy enough to quickly come up to speed with specific internal systems as well as external software tools.
  • Ability to multitask and adapt to changing priorities; can coordinate workloads, handle details, and meet deadlines effectively
  • Demonstrates self-confidence and self-awareness; learns from mistakes, not afraid to try something new, likes to grow in experience and skills
  • Bachelor’s Degree required
  • 3+ years of experience in executive-level administrative support roles
  • Strong computer skills; knowledge of and exposure to Microsoft Office Suite 365 including MS Office Suite, Outlook Exchange, PowerPoint, Excel, etc.
