HR Administrative Assistant - Fremont, CA

Job Description:

The HR Administrative Assistant will support the safety departments as well as other departments depending on business needs.

LOCATION:  Fremont, CA 94538
HOURS:       8:00am-5:00pm Mon-Fri
RATE:           To $22/hr
STATUS:       Contract to Hire

Responsibilities include but are not limited to: 
Work safely; promote safety within organization. Schedule, attend monthly sequential safety meetings. Assist in building safety requirements; promote and enforce good housekeeping. Log new employee, contractor and visitor records and file the appropriate documents. Log action items on Weekly Safety Inspection and Weekly Hazardous and Universal Waste Inspection and Monthly SCBA Inspection, Ladder Inspection, Fall Protection Inspection, Wastewater Inspection, Storm water Inspection and other regulatory inspections. Track monitoring reports and perform data entry. Track weekly hazardous waste generation and bi-weekly hazardous waste disposal. Maintain hazardous shipment manifest records. Maintain chemical purchase/ air emission records. Schedule annual medical exams and maintain records for 60+ employees per year. Schedule monthly safety meetings and committee meetings and maintain records (update distribution list and sign-in roster). Track safe work permit log. Successfully complete all assigned trainings and tasks. Manage calendars; schedule appointments; organize meetings/events.  Prepare agendas travel arrangements for visitors. Maintain strict confidentiality at all times. Review e-mail; proactively handle routine correspondence. Professionally interact with business contacts both inside and outside of company. Organize/facilitate accommodations for various meeting/conferences. Schedules and organizes activities such as meetings, travel, conferences and department activities for site departments such as safety and operations. Handles day-to-day communications, as needed (phone, email, etc.), for site. 

5+ years administrative experience in a corporate setting and with
Previous HR  admin support and Recruiting experience with hourly employees
Computer proficiency in MS Office Suite 2010 (Word, Excel, PowerPoint) 
Professional appearance/attitude
